Name corrections on bookings

TAP  allows the correction of passenger names on bookings according to the procedures below:

  • Tickets with Plate 047 and only on flights operated by TP/NI/WI (no code-shares or interline flights)
    • Name corrections are strictly forbidden in Bookings/Tickets with Interline or Code-share Flights where TAP is not the Operating Airline.
       
  • Same flights and dates as originally booked, i.e no rebooking.
    • If there is a change of date or booking class when reissuing for name correction, in addition to the name correction fee, the respective fare difference shall  be collected as well as the penalty fee for changing the date. Failure to collect these amounts will result in an ADM being issued.

 

1 – According to TAP Air Portugal’s General Conditions of Carriage (Article 3 – Point 3.1.2), tickets are non-transferable, so all name change situations are not allowed, and any exception to this rule is subjected to the TAP’s approval.

2 – The Reservation System will generally allow Name Correction according to the conditions below:

  • Group PNRs – Please refer to the Groups section of our site for further information our you may contact our Groups Department at tapgroupsusa@tap.pt. The below information is for individual bookings/PNRs.
  • Individual Passenger Bookings – the reservation system allows the correction of the first name and up to 3 characters in the surname (once only), provided the passenger is the same.

If in any transaction the rules above are not followed, the flight status of the PNR will change into “US”. Due to this, agents must not attempt to modify a name without contacting TAP beforehand. 

Reissuance procedures

All name correction situations above are permitted only in PNRs with TP/NI/WI operated flights.  If a ticket has already been issued, it must be reissued with a fee of 36USD / 47CAD / 30EUR charged as DU TAX in BSP, or as an EMD or Penalty Fee in ARC.  The wording “REISS DUE NAME CORR” must be added to the endorsements box.

If all of the above procedures are correctly followed there is no need to send a copy of the new electronic ticket to our Agency Help Desk, except when a document is required.

Make sure you spell the customers' names as shown on their ID or Passport in order to avoid name corrections!

 

How to insert a name in a PNR and Ticket

All Bookings made on TAP AIR PORTUGAL flights must include on the Name Field the passenger’s last Family Name and the Given Name*, followed by Title (eg:MRS, MR, MISS, MSTR) and Passenger Type Code (eg:ADT, CHD, INF, etc…).

For passengers with long names it is important to keep in mind that the maximum number of characters permitted in the name field is 57, but for issuance, only 28 characters will show up on the ticket, therefore we recommend procedures above.

Example of a passenger with a long name:

MARIA FRANCISCA MARQUES PEREIRA SILVA DE OLIVEIRA: - First Names = MARIA FRANCISCA;  Family Name = MARQUES PEREIRA SILVA DE OLIVEIRA
Name to be inserted on the PNR: 1OLIVEIRA/MARIAMRS (ADT) or 1OLIVEIRA/MARIAFRANCISCAMRS (ADT).

Example if you exceed 28 characters in the PNR:

Name Field of the PNR: 1.MARQUES PEREIRA SILVA DE OLIVEIRA / MARIA FRANCISCA MRS

Name on  the Ticket: MARQUESPEREIRA / MARIAFRANCIMRS

* Although TAP does not require more than first name and last name, some companies may also require the full name in the name field.

 

There also are specific rules in some markets such as:

BRAZIL: Passenger’s full name is JOSE MANUEL SARMENTO SILVA JUNIOR (name has more than 28 characters, so booking must be made as suggested above). Since JUNIOR is a Suffix, on the Booking name should show as 1SILVAJUNIOR/JOSE MR(ADT).

SPAIN: Passenger’s full name is MARIA DEL AMPARO SANCHEZ RODRIGUEZ (name has more than 28 characters, so booking must be made with passenger’s First Family Name which is always the Father’s Family Name together with the First Given Name – 1SANCHEZ/MARIADELAMPAROMRS(ADT).

 

How to book a passenger whose full name is just a family name (without a first name) or whose full name is just a first name (without a family name):

Enter the family name or first name in the family name field, followed by / Mr, Mrs etc.

⇒ Ex: SOUSA / MR

⇒ Ex: FLORENCIA / MRS

If TAP's system considers it a fictitious name, the PNR will be cancelled. In this case, you must send us a copy of the passenger's ID or passport, so that we can insert a validation that will prevent subsequent cancellations.
 

How to book a passenger with single letter family name

Double the single letter family name as the family name or combine the single letter family name with all the given name(s) as the family name.

Ex: MISS MOAN Y 

⇒ book  as YY/MOAN MISS or YMOAN/MISS

Multiple members of a single letter family name must be booked in individual Name Fields in the PNR.

Ex: John and Sally U

⇒ book 1 UJOHN/MR and 1 USALLY/MRS.


And also:

If the PNR contains SSR DOCS, it is necessary to enter this information again after the name has been corrected.

If a frequent flyer number (FQTV) is inserted in the PNR, please contact the Help Desk in advance to remove it first (valid for 1G agents).

 

  • In the Name Field of the PNR the limit to the number of characters is 57
  • The limit on the Name Field of a Ticket is only 29 characters (including "/").

Thus, if the PNR Name Field has more than 29 characters, the name on the ticket will be truncated. As a rule, simply enter the first and last name; the middle names can be entered in SSR DOCS.

Example if you exceed 29 characters in the PNR:

Name Field of the PNR: 1.MARQUES PEREIRA SILVA DE OLIVEIRA / MARIA FRANCISCA MRS

Name on  the Ticket: MARQUESPEREIRA / MARIAFRANCIMRS
